Salary: $14.25 an hour
Office Hours: 8:30 – 4:30 pm Monday - Friday
Full time: up to 40 hours a week

We’re seeking an outgoing, dedicated Administrative Assistant to join our team and play a crucial role in our mission.
What will you be doing:
The Administrative Assistant is a vital member of the team. The assistant is a friendly face and trusted member of the team that ensures exceptional customer service to our association members and maintains the smooth operations of our front office. This role performs a range of administrative tasks and because this is a central point of contact for association members the assistant contributes to a positive image within the association.
Key Responsibilities:
- Provide superior customer service to association members, both in person and over the phone.
- Effectively manage the front office operations, handling administrative support tasks with confidence.
- Serve as a central point of contact for members, embodying professionalism and dedication.
- Greet visitors warmly, offer assistance and direct them as needed.
- Handle incoming phone calls, screening and transferring as required.
- Assist in the coordination of new member application and orientations, ensuring a seamless onboarding process.
- Answers phone, assists members with questions, aids in problem solving and addresses concerns promptly and effectively.
- Support the Association Executive and leadership staff with administrative tasks.
- Maintain organized filing systems and accurate records, including member applications.
- Assist in drafting letters, memos, sending invoices, reports and other documents.
- Manage internal marketing communications, including newsletters, flyers and social media.
- Keep our website updated with relevant information and resources.
- Assist with technology support, lockbox and electronic key management.
- Contribute to event planning and execution, collaborating with volunteers and handling logistics.
- Perform light facility management tasks, such as room preparation and supply stocking.
- Performs other related duties as assigned.

Required Skills and Abilities:
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite, Adobe PDF Editor, and related software.
- Exceptional interpersonal and customer service skills.
- Attention to detail and excellent organizational abilities.
- Ability to work independently and manage tasks effectively.
Preferred, But Not Required:
- Experience with event planning.
- Familiarity with internal marketing communications.
Education and Experience:
- High School Diploma or GED
- At least two years of administrative experience preferred, but not required.
- At least two years of experience in customer service, retail, or event planning preferred, but not required.
Physical Requirements:
- Extended periods of desk work and computer usage.
- Ability to lift up to 25 pounds.
- Standing and walking for extended periods during events.
- Flexibility to work varying hours to accommodate events.
